Swindon Open Studios – Venue Terms & Conditions
Introduction
These Terms & Conditions apply to all venues registering with Swindon Open Studios (SOS) to host artists during the annual event. By registering as a venue, you agree to comply with the responsibilities outlined below.

1. Venue Responsibilities

Negotiate and agree directly with artists all arrangements, including exhibition space, facilities, opening hours, display requirements, requirements for artists to attend and any fees or commissions.

Take payment directly from artists; SOS is not involved in these financial transactions.

Maintain a written agreement with each artist covering terms, costs, responsibilities, and dates of exhibition.

1.2 Opening Commitments

Make all reasonable efforts to open your venue on the dates registered with SOS.

Communicate as early as possible to SOS and your artists if circumstances prevent you from opening.

1.3 Communication

If you are vetting which artists are best suited to your venue, please let them know your decision as soon as possible to allow them to find another venue if necessary.

Forward relevant information from SOS (emails, guidance, updates) to your artists to ensure they are fully informed.
1.4 Safety and Accessibility

Ensure your venue meets all applicable safety, accessibility, and insurance requirements for hosting the exhibition.

Provide accurate information to SOS about accessibility, facilities, and any restrictions.

2. SOS Responsibilities
2.1 Promotion
-
Promote registered venues to artists via the SOS website, social media and other appropriate means.

Provide guidance to venues and artists about best practices for exhibiting.

Assist in connecting venues with artists when requested.

Final arrangements between venue and artist remain the venue’s responsibility.

Support and Advice
-
Offer guidance, resources, and support to help venues host successful exhibitions.

3. Limitations of SOS Liability
3.1 SOS cannot be held responsible for:

Any disagreements, disputes, or non-compliance between venues and artists. SOS does not offer a mediation or dispute resolution service.

Loss, damage, or other incidents relating to artwork, venues, or artists.

Failure of a venue or artist to meet agreed arrangements.
-
Venues participate at their own risk and are responsible for all insurance, safety, and legal obligations.

4. Agreement
By submitting a venue registration form, you confirm that you have read and understood these Terms & Conditions and agree to comply with them.
